Terms of Service

1. Agreement to Terms

These Terms of Service ("Terms") govern your access to and use of StewardReach, a ministry growth and outreach platform operated by B.Ent Group ("Company," "we," "us," or "our"). By creating an account, accessing, or using StewardReach, you ("Customer" or "you") agree to be bound by these Terms. If you are using StewardReach on behalf of a church or organization, you represent that you have authority to bind that organization to these Terms.

If you do not agree to these Terms, do not create an account or use the platform.

2. Description of Services

StewardReach is a cloud-based software-as-a-service (SaaS) platform designed to help churches and ministries manage guest relationships, automate follow-up communications, coordinate visit scheduling, and grow outreach. Core features include:

• Guest management and visit request processing
• Automated multi-channel follow-up sequences (SMS, email)
• Ministry profile and public-facing landing pages
• QR codes and trackable share links for outreach campaigns
• Prayer request collection and management
• Event creation, RSVPs, and check-in tools
• Meet & greet coordination
• Analytics and engagement reporting
• Team management and role-based access

We reserve the right to modify, suspend, or discontinue any feature or the platform itself at any time with reasonable notice.

3. Accounts and Eligibility

To use StewardReach, you must be at least 18 years old and authorized to act on behalf of your ministry or organization. You are responsible for:

• Providing accurate and complete registration information
• Maintaining the confidentiality of your account credentials
• All activity that occurs under your account
• Notifying us immediately of any unauthorized use of your account at support@stewardreach.com

We reserve the right to refuse service, terminate accounts, or remove content at our sole discretion.

4. Subscription Plans and Billing

StewardReach is offered on a subscription basis. By selecting a paid plan, you authorize B.Ent Group to charge your payment method on a recurring basis at the then-current subscription rate.

• Billing cycle: Subscriptions are billed monthly or annually depending on the plan selected at checkout.
• Price changes: We may change subscription pricing at any time. We will provide at least 30 days' advance written notice before any price increase takes effect for existing subscribers.
• Refunds: All fees are non-refundable except as required by applicable law or as expressly stated in a promotional offer. If you cancel mid-billing period, you retain access through the end of the paid period.
• Promo codes: Promotional discounts are applied at checkout and are subject to the terms stated at the time of use. They cannot be applied retroactively.
• Failed payments: If a payment fails, we will attempt to retry the charge. Accounts with unresolved failed payments may be downgraded or suspended after reasonable notice.

Payment processing is handled by Stripe, Inc. By subscribing, you also agree to Stripe's terms of service. Your payment information is never stored on StewardReach servers.

5. Acceptable Use

You agree to use StewardReach only for lawful, ministry-related purposes. You must not:

• Use the platform to send unsolicited commercial messages, spam, or harassing communications
• Upload or distribute content that is unlawful, defamatory, obscene, or that infringes on the rights of others
• Use the SMS or email tools to contact individuals who have not provided consent under applicable law, including the Telephone Consumer Protection Act (TCPA)
• Attempt to reverse-engineer, decompile, or access the source code of the platform
• Circumvent, disable, or interfere with security features of the platform
• Use the platform to collect or store guest data beyond what is necessary for your stated ministry purposes
• Impersonate any person or entity or misrepresent your affiliation with a church or organization
• Resell, sublicense, or otherwise commercialize access to the platform without written permission

Violation of this section may result in immediate account termination without refund.

6. SMS and Email Communications

StewardReach enables ministries to send SMS text messages and emails to their guests and congregation members. As a Customer, you are solely responsible for:

• Obtaining all legally required consents before sending any SMS or email communications through the platform
• Complying with the Telephone Consumer Protection Act (TCPA), CAN-SPAM Act, and any other applicable federal, state, or local laws governing electronic communications
• Providing a clear opt-out mechanism in all marketing communications and honoring opt-out requests promptly
• Ensuring that all contact information you upload was collected lawfully and with appropriate consent

B.Ent Group acts as a service provider and is not the sender or originator of your messages. We reserve the right to suspend SMS or email sending capabilities for accounts that generate excessive spam complaints, opt-outs, or carrier violations.

SMS delivery is subject to carrier availability and is not guaranteed. Standard messaging rates may apply to recipients based on their mobile carrier plans.

7. Guest Data and Your Responsibilities as Data Controller

When your ministry collects information from guests — including names, phone numbers, email addresses, visit preferences, and prayer requests — you are the data controller for that information. B.Ent Group acts as a data processor on your behalf.

As the data controller, you are responsible for:

• Having a lawful basis for collecting and processing guest data
• Informing your guests about how their data will be used, including use of third-party communication tools
• Responding to data access, correction, and deletion requests from your guests
• Ensuring you do not collect more data than necessary for your stated ministry purposes

You agree not to upload sensitive categories of data (such as medical, financial, or government ID information) beyond what is reasonably required for guest follow-up and pastoral care.

8. Content Ownership and License

You retain full ownership of all content you create or upload to StewardReach, including ministry information, sermon materials, images, and communications. By using the platform, you grant B.Ent Group a limited, non-exclusive, royalty-free license to store, process, and display your content solely as necessary to provide the services described in these Terms.

We will not sell, share, or use your ministry content or guest data for any purpose other than operating and improving the StewardReach platform.

9. Intellectual Property

The StewardReach platform, including its software, design, trademarks, logos, and documentation, is owned by B.Ent Group and protected by applicable intellectual property laws. Nothing in these Terms grants you any right to use B.Ent Group's trademarks, trade names, or other intellectual property without our prior written consent.

10. Third-Party Integrations

StewardReach integrates with third-party services including Twilio (SMS), Resend (email), Stripe (payments), Supabase (database), and Vercel (hosting). Your use of these integrations is also subject to the respective third parties' terms of service and privacy policies. B.Ent Group is not responsible for the acts or omissions of any third-party service provider.

11. Disclaimer of Warranties

StewardReach is provided "as is" and "as available" without warranties of any kind, either express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, non-infringement, or uninterrupted or error-free service. We do not warrant that the platform will be available at all times, free from errors, or that any defects will be corrected.

Some jurisdictions do not allow the exclusion of implied warranties, so the above exclusion may not apply to you.

12. Limitation of Liability

To the maximum extent permitted by law, B.Ent Group and its officers, directors, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or related to your use of StewardReach, including but not limited to loss of data, loss of revenue, or reputational harm.

Our total cumulative liability to you for any claims arising under or related to these Terms shall not exceed the total fees paid by you to B.Ent Group in the twelve (12) months immediately preceding the event giving rise to the claim.

13. Indemnification

You agree to indemnify, defend, and hold harmless B.Ent Group and its officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable attorneys' fees) arising out of or in connection with: (a) your use of StewardReach; (b) your violation of these Terms; (c) your violation of any applicable law or regulation; or (d) any claim by a third party (including your guests) arising from communications you sent through the platform.

14. Termination

Either party may terminate this agreement at any time. You may cancel your subscription by navigating to Settings > Billing within your account or by contacting us at support@stewardreach.com.

We may terminate or suspend your account immediately, without notice, if you breach these Terms or if we determine that continued service poses a risk to the platform, other users, or third parties.

Upon termination, your right to access the platform ceases. We will retain your data for up to 30 days after termination to allow for export, after which it may be permanently deleted. Sections 7, 8, 9, 11, 12, and 13 survive termination.

15. Governing Law and Disputes

These Terms are governed by the laws of the State of Florida, without regard to its conflict of law principles. Any disputes arising under these Terms shall be resolved through binding arbitration administered by JAMS under its Streamlined Arbitration Rules, conducted in English in Broward County, Florida. You waive any right to participate in a class action lawsuit or class-wide arbitration.

Notwithstanding the above, either party may seek injunctive or other equitable relief in any court of competent jurisdiction to prevent unauthorized use of intellectual property or breaches of confidentiality obligations.

16. Changes to These Terms

We may update these Terms from time to time. We will notify you of material changes at least 14 days in advance via email to the address on file or via in-app notification. Your continued use of the platform after the effective date of the revised Terms constitutes your acceptance. If you do not agree to the updated Terms, you must stop using the platform and cancel your subscription before the effective date.
